Refund & Cancellation Policy
1. General Policy
SolveTech provides customized IT, software, digital, and technical services. Due to the nature of digital work, planning, development time, resource allocation, and licensing costs, refunds are subject to the conditions mentioned below.
2. Project Cancellation by Client
Clients may request cancellation of a project by providing written notice via email or official communication.
Refund eligibility depends on the project stage:
Before Project Work Begins
- If cancellation is requested before work has started, partial or full refund eligibility may be considered after deducting administrative, consultation, or processing costs.
After Project Work Has Started
- Once design, development, consultation, deployment, or technical work has commenced, advance payments are generally non-refundable.
- Charges may apply for completed milestones, allocated resources, purchased licenses, or work already performed.
Completed Projects
- No refunds will be issued after project completion, final delivery, deployment, or client approval.
3. Website Development & Software Projects
For website development, mobile applications, ERP systems, CRM systems, custom software, or similar digital solutions:
- Payments made for completed phases or milestones are non-refundable.
- Delays caused by lack of client communication, approvals, or content submission do not qualify for refunds.
- Custom-built software developed specifically for a client cannot be returned once delivered.
4. Hosting, Domain & Third-Party Services
Payments made for the following are typically non-refundable:
- Domain registrations or renewals
- Hosting services
- SSL certificates
- Cloud subscriptions
- Third-party licenses
- API subscriptions
- Software subscriptions
- Email hosting services
These services are often governed by third-party provider policies.
5. AMC, Maintenance & Support Services
For Annual Maintenance Contracts (AMC), support retainers, or maintenance plans:
- Cancellation requests must be submitted in writing.
- Refunds for unused service periods may be considered only if specifically mentioned in the agreement.
- Setup fees, onboarding charges, and already utilized support hours are non-refundable.
6. Subscription Services
For recurring monthly or annual services:
- Clients may cancel renewal before the next billing cycle.
- No partial refunds will be provided for unused periods unless otherwise agreed in writing.
- Services will remain active until the end of the paid billing period.
7. Delayed or Failed Payments
SolveTech reserves the right to:
- Suspend services for overdue payments
- Pause project work until dues are cleared
- Restrict access to hosting, software, or support services
- Terminate agreements in cases of prolonged non-payment
Any resulting delays shall not make SolveTech liable for losses or damages.
8. Refund Processing
If a refund is approved:
- Refunds will be processed using the original payment method whenever possible.
- Processing time may vary depending on banks, payment gateways, or financial institutions.
- Bank charges, transaction fees, currency conversion fees, and administrative costs may be deducted.
9. Non-Refundable Situations
Refunds will not be provided for:
- Change of mind after project approval
- Delays caused by the client
- Completed work or delivered milestones
- Technical issues caused by third-party providers
- Failure to review project scope before approval
- Service interruptions beyond reasonable control
- Violation of terms or misuse of services
10. Project Hold Policy
If a project remains inactive due to client inactivity for an extended period:
- SolveTech may place the project on hold.
- Reactivation may require revised timelines, pricing adjustments, or additional charges.
- Long inactive projects may be archived after reasonable notice.
11. Force Majeure
SolveTech shall not be responsible for delays, cancellations, or inability to provide services due to events beyond reasonable control, including:
- Government restrictions
- Internet outages
- Cyber incidents
- Natural disasters
- Power failures
- War or civil disturbances
- Pandemic-related disruptions
12. Policy Updates
SolveTech reserves the right to modify this Refund & Cancellation Policy at any time. Updated versions become effective upon publication on our website or official communication channels.
